Think Specialist Recruitment are pleased to be recruiting for a Project Coordinator to provide support to the Account, Operational and External Project Managers with the delivery of Customer projects and KPI’s.
This is a fantastic opportunity to have a challenging and varied role to join one of Europe’s leading suppliers based in Hemel Hempstead. We are looking for someone to be the main point of contact for Contractors and Franchisee enquiries.
Duties:
- Quoting / project billing
- After sales service management
- Liaise with Procurement
- Quoting from drawings
- Raise quotations using standard quote Project Billing – invoice management
- Invoicing in a timely manner – monthly
- GDNI resolution – monthly
- Subscribe/Monitor online portal for all renewal projects as indicated on the internal programme matrix’
- Create & manage site specific project folders on the server
- Create job packs within the specific project folder as required
- Add & manage the project detail on the invoice tracker
- Instruct on Sales Orders raising in line with the requested delivery dates
- Check that Sales Orders loaded match the onsite expectation (in line with the issued quote)
- Follow up / chase any outstanding project information with the relevant parties
- Ensure information on the master tracker is up to date & accurate for all sites being managed
- Process requests from Internal PM related projects as required
- Ensure that any equipment snags / issues are logged on the correct documentation
- Raise any concerns on common issues
- Instruct Procurement on running MRP for manufacture (requirements are to be grouped to enable bulk production) as and when required
- Main contractors (external)
- Allocate & manage requests
- Contact Main contractors to arrange deliveries
- Manage snagging enquires - Manage any adhoc requests for variations, snags or small projects as required
- Ensure ancillaries sales orders are raised
- Set up of new customers (franchisee’s & Main contractors) on internal Jeeves system (sending ‘new customer form’s, instructing on the raising of proformas & issuing proformas to the customers)
- Engage with accounts re Franchisee payments prior to ordering/dispatching goods
- Support the account manager and or Operational support Manager as required
Candidate requirements:
- Good working knowledge of Excel
- Team player as well as self-motivated
- Good time & task management abilities
- Able to self-prioritize workload to meet the expectations of the client/business
- Ability to multitask
- Able to work under pressure in an often-fast moving environment
- Good communication skills
